Parent Volunteer Opportunities

West Michigan Homeschool Theatre

Parent Volunteer List and Job Descriptions

Parents will need to sign up for tasks until all positions are filled.

 

Costumes: Designer and Coordinator: _______________

  • Seamstresses: Assist Mary with ideas; mending work and sewing.
  • Wardrobe Assistance: Organize, label and store costumes; assist with costume changes during the show, hang/press costumes after each show, & manage costume returns/cleaning after the show closes.

 

Set Coodinator: :_ ___________________________________

  • Meet with Crew regularly to teach and create the construction; design and painting.
  • Coordinate work days.
  • Coordinate set build on Monday of Tech Week. Teach students set-up and take-down. Strike the stage. Work with Stage manager on scene changes, curtain, clean-up, props, etc.
  • Coordinate set take down on Saturday night.

 

Props Coordinator:______________________________________________

  • Coordinate with ideas already generated by the director.
  • Create a list of props needed and share it with the entire cast and crew to see what they can bring in from home. Go to local thrift shops and Civic Theater to look for props.
  • Keep a list of people who loaned props and need them returned.
  • Educate students about caring for props; collect, organize and label props as they are donated.
  • Monday of Tech week, set up prop tables and label. Oversee the return of props to the prop table before and after performances. Be available Saturday after the performance to return props and take down tables.

Make-up & Hair Crew Coordinator: Dawn Snuffer,_________________________________

Work with Mrs. Baldwin to accomplish the following:

  • Create SIMPLE makeup and hair designs for each character.
  • Take inventory of what we already own.
  • Secure and organize hair and makeup products needed within budget.
  • Coordinate dress rehearsal/performance schedule for make-up crew.
  • Meet with crew to practice make-up/hair application and design.
  • Organize make-up stations in green room.
  • Apply make-up for each show and/or instruct students in application.
  • Make sure students provide their own mascara, eye liner, and comb/brush in a marked bag.
  • Set-up and clean-up for each rehearsal and performance.

 

Room Monitors (8) Coordinator: ___________________________________

  • Establish a rotating schedule of parent volunteers to assist backstage during final performance week.
  • Monitor students’ behavior in the Green/dressing rooms for final rehearsals and performances, assisting when a need arises and keeping the noise down backstage.
  • Keep visitors and curious onlookers who are not involved with the show out of backstage area!
  • Provide quiet board games, cards, etc. to occupy actors not on stage.
  • Clean Green Room areas after each rehearsal and performance.
  • Coordinate with Mary on when students can be taken to the park and rest times. Attend debriefing meetings on stage after rehearsals to maintain schedule.
  • Keep students in Green Room ONLY.

Meals for Performance Week (3-5 people) Coordinator: ____________________________

  • Arrange healthy meals and water with budgeted money for the final week of performance.
  • Request donations (as early as possible) from grocery stores, bakeries, clubs, etc. (gift cards, snacks, grocery items) that could be used to offset cost of meals and snacks.
  • Communicate with parents on allergy concerns with students. Always have Gluten Free options
  • Serve meals and clean up.

Photography (1-2 people) Coordinator: __________________________________________

  • Take “Glamour Shots” of Cast/Crew. Develop into 4X6 prints or larger to create display in lobby. Pictures should be labeled with names and characters.
  • Take candid pictures of various scenes from Tech week and performances during final dress rehearsals; post on FB (moderately) or provide DVD to hand out at cast party.
  • Obtain Videographer and schedule.

Administrator/Financials (1-2 People) Coordinator: Dawn Snuffer and Laurie Hawkins

  • Work with Director to help organize, schedule and facilitate meetings; procuring of all documents.
  • Manage the business-end of things so the director can concentrate on directing.
  • Make sure all documents are updated with current information.
  • Collect all Forms and Money (including registrations, t-shirts, DVDs, ad and ticket sales).
  • Keep track of all income and expenses.
  • Sign on to Bank account with Mary Baldwin.
  • Write reimbursement checks to Committee Coordinators/Helpers.
  • Post FB and e-mail messages for Cast and Crew.

Co-Director (1 person): ________________________________________________

  • Be the go-between, errand runner, messenger for the Director.
  • Check on Committees to make sure everything is running smoothly.
  • Trouble-shoot anything that arises so Director can stay focused.
  • Post FB messages for Cast and Crew.

Stage Manager (1 Person)

  • Be comfortable trouble-shooting; must be able to stay “calm under fire”.
  • Available for rehearsals
  • Work closely with set coordinator
  • In charge of cast striking of stage
  • In charge of curtains
  • Cue cast.
  • Coordinate with green room monitors for cast readiness
  • Teach cast where to be off stage
  • Communicate needs with Prop coordinator
  • Notify director of any backstage needs

 

Crew (2-4 people) Coordinator:_ _____________________________________________

Acquire the current list of poster placement.

  • Brainstorm other areas where we could try to put up posters.
  • Keep a list of locations posters were put up, and cross off locations that no longer allow posters in order to keep a current list for subsequent years.
  • Coordinate poster distribution in the following towns: Spring Lake, Ravenna, Fruitport, North Muskegon, Montague, Whitehall, Holland, Muskegon, & Grand Haven by assigning locations to students who live in those areas.
  • You are welcome to enlist parent monitor help during rehearsals!

 

Marketing and Program; Poster, T-shirt and DVD Cover Design (1-2 people) Coordinator:

  • Design, format layout and printing of Program, Poster, T-Shirt and DVD cover.
  • Post information on FB with any upcoming play details (keep Cast & Crew “in the loop”).
  • Make sure advertisement for play is put in Fruitport newspaper and MLive. (GH Tribune?)

 

Sound and Lights (2 people) Lights:_Laurie Hawkins Sound:___________________________

  • Be at Theatre the entire week of the production: Approximately 50 hours.
  • You can be trained for this position

  • Flower and Candy Gram Sales (3-4 people) Coordinator:______________________________
  • Implement the purchase of carnations and roses, candy, and note cards to be sold to audience for cast and crew members. Research local businesses for best bulk flower prices and candy. (Look for ½-off candy sales after recent holidays.)
  • Create an attractive poster, chalkboard, etc., to display goods and prices.
  • Set up paper bags, jars, vases, etc., with cast and crew names to act as mailboxes. (Don’t forget to include a vase for the Director!)
  •  
  • Cast Party Coordinator (1-2 people) Coordinator: __________________________________
  • Obtain a location (large!) - usually a local church, fellowship hall, or youth room.
  • Cast and parents only
  • Coordinate food, drinks, and paper goods within budget funds.
  • Help pass out any items such as DVD orders, certificates, picture disks, etc.
  • Set up and Clean up.

Traditionally held on a weekday 2 weeks after the final performance, from 6-9pm
